Privacy notice
Last updated 29 October 2026
This notice explains how Hillview Care Services Limited uses personal information when you contact us, apply for a job with us or visit this website. If you receive care from us, we will also give you a separate notice about your care records.
Who we are
Hillview Care Services Limited is the data controller for the information described here. We are registered in England and Wales, company number 09793916, at 13 Soundwell Road, Staple Hill, Bristol BS16 4QG.
For anything about your personal information, email admin@hillviewcareservices.co.uk, call 0117 305 0978 or write to us at the address above.
What we collect and why
When you ask about care. If you phone or email us about care for yourself or someone else, we keep your name, contact details and what you tell us about the care needed. This often includes health information. We use it to answer your enquiry, arrange an assessment and, if you go ahead, plan the care. Our lawful basis is taking steps at your request before entering into an agreement, and our legitimate interest in responding to people who contact us. For health information, we rely on the condition for the provision of health or social care.
When you apply for a job. We keep the details in your application, such as your work history, qualifications and references. If we offer you a role, we will also carry out right-to-work and Disclosure and Barring Service checks, which the law and our regulator require. Our lawful basis is taking steps before entering into a contract with you, and complying with our legal obligations.
When you visit this website. The website does not use cookies and does not ask you to fill in any forms. We count visits with a privacy-friendly analytics tool that does not use cookies or identify you, and which only tells us things like how many people visited and which pages they read. The fonts on the site are loaded from Google, which means your browser shares your IP address with Google when the page loads.
Who we share it with
We never sell personal information. We only share it when we need to:
- with health and social care professionals, such as GPs, district nurses and social workers, when it is needed to arrange or provide care
- with a local authority or the NHS if they are arranging or funding care
- with the Care Quality Commission, the police or other public bodies when the law requires it, or to protect someone at risk of harm
- with the companies that provide our email and IT services, who act only on our instructions
Our email is provided by Google, which may process it in the United States under the UK's data bridge with the US. Our website is hosted in the European Economic Area, which the UK recognises as protecting personal information to the same standard.
How long we keep it
- Care enquiries that do not lead to care: 12 months from our last contact
- Unsuccessful job applications: 6 months after the role is filled
- Records for people we care for and our staff: for the periods set by law and by our regulator, which are explained in the separate notices we give them
Your rights
You can ask us for a copy of the information we hold about you, and ask us to correct it, delete it, or limit or stop how we use it. In some cases you can ask us to pass it to another organisation. We will reply within one month. There is no charge.
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
